1. Preview

Exploremore respects your privacy and is committed to protecting it. This privacy notice will inform you about how we handle your personal data and your privacy rights under existing data protection laws.

Explloremore will process your personal data if you (engaged by an organisation which is a client of Explloremore) provide it on behalf of your employer or travel sponsor.

2.Where travel services are purchased for you pursuant to an arrangement between your employer / travel sponsor and Explloremore as an agent, the relevant service provider will be responsible for the security of the personal data it receives and for compliance with applicable laws and regulations.

By sharing your personal information with us, you are agreeing to the terms outlined in this Notice and authorizing us to handle your information. This includes the collection, use, and disclosure of your personal information as explained in this Notice. If you do not consent to any part of this Notice, please refrain from providing us with your personal information. Please note that if you choose not to share your personal information with us or withdraw your consent, it may impact our ability to provide services to you. For instance, when making travel bookings, we require the traveller's full name, contact details, and appropriate identification (such as passport details). Without this information, we are unable to make bookings on your behalf.

The purpose of the study

This privacy notice aims to clearly provide you with information on how Explloremore collects and processes your personal data, including any information you may provide through your employer or travel sponsor. We also wish to inform you about how, when, and why we process your personal information through this notice.

3. The data we collect

Information about an individual that can be used to identify that individual is personal data. The term does not include data where the identity has been removed to make it anonymous. Listed below are the types of personal data we may collect, use, store and transfer about you;

Data related to identity

The identity data includes the full name, username or similar identifier, marital status, title, date of birth, and gender.

Contact information

The contact data includes the billing address, delivery address, email address, and telephone number.

Data on travel

Where applicable, travel data includes passport numbers, identity documents used for domestic travel, and seaman's books.

Data related to finances

Payment card details, bank account information, and any other financial data required to process financial transactions are considered financial data.

Data Transactions

The Transactional Data includes information about products and services purchased from us, including payments to and from you and other parties involved in that transaction.

Profile data, section 3.6

A profile data set includes your username and password, purchases or travel bookings made by you, preferences regarding airline or hotel services, feedback, and survey responses.

Data on Marketing & Communications

Your Marketing and Communications Data will include your preferences in receiving marketing from us as well as your communication preferences.

The statistical data section

In addition to collecting and distributing statistical information for reporting, we may also gather aggregated data from your personal information. This type of data is not classified as personal information under law, as it does not disclose your identity. An instance of this would be combining your travel details for Management Information Reports. However, if the aggregated data is merged with your personal information in a way that it can identify you, it will be treated as personal data and handled accordingly according to our privacy notice.

Data for Special Categories

As part of defining services, such as meal preferences, we collect special categories of Personal Data about you, including your health and religion.

What is the process of collecting your personal data?

In compliance with your local data protection laws, we will only collect personal information from you when you submit it during the course of your relationship with us. We will collect this information directly from you. Unless you choose to do so anonymously or under a pseudonym, we may also collect your personal information when you complete surveys or provide feedback.

Your employer, your travel Sponsor or you may provide us with your Identity, Contact and Financial Data by filling out forms electronically or by corresponding with us by mail, phone, and email.

Data provided by client contracts

In order to provide services, your company or travel sponsor may provide personal data. Explloremore has explicitly stated in all of our contractual client dealings that the client is responsible for obtaining authorisation for the use of their personal data. When an authorised travel request is received by Exploremore, Explloremore will assume that this permission has been sought and granted.

5. How We Use Your Personal Information

When making a travel booking or inquiry, whether on behalf of yourself, your company, or through a travel sponsor, the main purpose of collecting your personal information is to offer travel advice and assist with booking travel and related products and services. As our client, when you book through us, we act as an agent for the designated travel service providers (such as airlines or hotels). In order to fulfill your requested services, we may need to collect personal information for both our internal use and that of the relevant travel service provider.

We may share your information with our travel service providers, such as hotels, airlines, car rental companies, and other providers that fulfill your travel bookings. It is important to note that these providers may also use your personal information in accordance with their own privacy policies and may contact you for additional information or to assist with your reservation and requested services. We encourage you to carefully review the privacy policies of any third-party travel service providers from whom you purchase products through us. In most cases, these privacy policies can be found on the provider's website. If a privacy policy is not readily available, we are happy to provide you with copies of relevant terms, conditions, and privacy policies upon request.

Thousands of travel service providers around the world rely on us as agents, so we cannot list in this Notice all of the travel service providers for whom we act or their locations.

6. How we will use your personal information

We have set out below, a description of all the ways we intend to use your personal data (whether on our own behalf or acting on behalf of your employer or travel sponsor), along with the legal basis on which we rely. As well as identifying our legitimate interests, we have also identified the appropriate channels for taking action.

Register as a traveler

Name, email address, phone number, employer, and physical address, passport number, additional document information, e.g. Driver License, Seaman Book, gender and date of birth, etc. In the event we book travel for your travel companions, similar information may be collected. In addition to request traveller credentials, and emergency contact information, you can provide additional information when setting up your traveller profile.

The performance of a contract with you, your employer, or your travel sponsor is the legal basis and legitimate interest.

Travel services can be booked at 6.2.

In addition to above (the information required to build your profile), we collect travel information (such as arrival and departure location, airline, hotel and car rental) and other information that may be required to book your travel. Information about accessibility, meal preferences, or other services requested.

Legal Basis & Legitimate Interest: Execution of a contract with you, your employer or travel sponsor, and for your legitimate interests (to define types of customers for our products and services, to maintain our website, to develop our business, and to inform our marketing strategy) to grow our business and engage in marketing activities.

The disclosure of personal information

For the purposes set out above, Explorermore may share your personal data with third parties, such as airlines, hotels, and end-users.

In our understanding, in law, we note that Explloremore is explicitly responsible for protecting your privacy when you purchase travel or associated services in accordance with an arrangement between your employer or travel sponsor and us. As an agent, Explloremore will be responsible for ensuring the security of the personal data it receives and complying with applicable laws; Explloremore is not liable for the actions or omissions of such service providers.

Data Transfer Overseas

If such international transfers are necessary to perform a contract between you, your company or travel sponsor, we share your personal data within Explloremore, its local TMC Partners, and to Services Providers. Data will be transferred outside of national boundaries, including the European Economic Area (EEA).

You will be transferred data to the Service Providers when they process your personal data outside of the defined national boundaries, including the EEA. We ensure that your personal data is protected in the same way whenever it is transferred overseas by implementing at least one of the following safeguards:

The appropriate retention period is determined by considering factors such as the amount, type, and sensitivity of the data, potential risks from unauthorized use or disclosure, and alternative ways to achieve our objectives. Additionally, we must adhere to applicable legal requirements.

Based on the regulation in each country, we are required to keep basic information about our customers (including Contact, Identity, Financial, and Transaction Data) for a period of 6 – 7 years, after they cease to be customers. If you do not use our services for a specific period of time, you may request that your personal data be anonymised.

This includes the potential for limitations or disruptions in the services we can provide. For instance, when making travel bookings, it is necessary for us to have the full name and contact and identification details (such as passport information) of the traveller. Without this information, we will not be able to make bookings on your behalf.
